Admins have full control over all user accounts on the platform. You can create new users, edit existing profiles, assign or change roles, and deactivate accounts when needed.

Creating a New User

1

Navigate to Admin → Users from the sidebar.

2

Click the “Add User” button in the top right.

3

Fill in the user details: name, email, phone (optional), and select a role.

4

Set a temporary password. The user can change this on first login.

5

Click “Create User” to save. The user will appear in the users list.

Available Roles

Learner

Can browse courses, complete assessments, and earn certificates.

Faculty

Can create and manage courses, build assessments, and view reports for their courses.

Coordinator

Can manage users, monitor compliance, and oversee all course delivery.

Admin

Full platform access including system settings, templates, and security.

Approving Faculty Applications

When users apply for faculty status, their applications appear in the Faculty Applications section.

1

Navigate to Admin → Faculty Applications.

2

Review the applicant's credentials and qualifications.

3

Click “Approve” to grant faculty access or “Deny” to reject. The user is notified by email.

Editing and Deactivating Users

Edit profile: Click a user's name from the Users list, then click “Edit” to change their name, email, phone, or role.

Change role: From the edit page, use the role dropdown to reassign a user's role. Changes take effect immediately.

Deactivate account: Toggle the active status on the edit page. Deactivated users cannot log in but their data is preserved.

Evaluation Templates

Evaluation templates are reusable question sets that faculty can attach to their courses. As an admin, you create and maintain these templates from the admin Templates page. Templates ensure consistent evaluation standards across all courses.

Creating a New Template

1

Navigate to Admin → Evaluation Templates from the sidebar.

2

Click “Create Template”. Enter a title and optional description.

3

Add questions to the template. Choose from available question types (see below).

4

Reorder questions using drag-and-drop or the arrow buttons.

5

Save the template. It becomes immediately available to all faculty when creating evaluations.

Question Types

Rating Scale

Numeric scale (e.g., 1-5 or 1-10). Good for satisfaction and quality measures.

Likert Scale

Agreement scale from “Strongly Disagree” to “Strongly Agree”. Standard for CME evaluations.

Free Text

Open-ended responses. Use for comments, suggestions, and qualitative feedback.

Multiple Choice

Select one or more options from predefined choices. Useful for demographic or categorical questions.

Managing Existing Templates

Edit a template: Click the template name from the list, then modify questions, titles, or ordering.

Template availability: All saved templates are visible to faculty when they create evaluations for their courses.

Editing active templates: Changes to a template affect future evaluations. Existing evaluation responses already submitted are not affected.

Course & Series Management

Admins have full control over every course and series on the platform, regardless of who created them. You can edit content, manage enrollments, and monitor completion across the entire course library.

For details on creating courses, adding content, building assessments, and managing series, see the Faculty Guide — Course Creation section. The process is the same for admins with the added ability to edit any course.

Admin-Specific Course Features

Edit any course: Access the edit page for any course regardless of who created it. Navigate to Admin → Courses and click any course to view or edit.

Manage all series: View and edit all series from Admin → Series. Series are organized into modules that group related activities together.

  • Modules: Add, rename, and reorder modules on the series edit page. Each module has its own Add Activity button.
  • Auto-evaluation: Apply a course evaluation template across all activities in a series at once using the Auto Evaluation section.

Content library: Access the full content library from Admin → Content to browse, preview, and manage all uploaded materials and media.

  • Preview content: Click the View button or the content title to open an inline preview. Videos play directly in the modal with full playback controls.
  • Delete content: Click the Delete button on any row, or use the Delete button inside the preview modal. A confirmation dialog will appear before anything is removed.

Enrollment management: View and manage all enrollments from Admin → Enrollments. Manually enroll or remove learners from any course.

Completion monitoring: Track completion rates and compliance across all courses. Identify courses with low completion for follow-up.

ACCME Compliance

Access the ACCME compliance tools from Admin → Compliance to review courses for accreditation standards, manage commercial interest disclosures, and flag courses that need attention.

System Settings

System settings are admin-only and control the core integrations that power the MidwayCME platform. Access all settings from Admin → Settings.

Caution

Changes to system settings affect the entire platform immediately. Double-check all values before saving. Incorrect settings can disrupt email delivery, SMS notifications, or live sessions.

Email Configuration (SendGrid)

Configure the SendGrid integration used for all platform emails including enrollment confirmations, certificate delivery, and password resets.

  • SendGrid API key
  • From email address and display name
  • Enable or disable email sending globally
  • Enrollment notification toggle

SMS Configuration (Twilio)

Configure Twilio for SMS reminders and notifications sent to learners and faculty.

  • Twilio Account SID and Auth Token
  • From phone number
  • Enable or disable SMS sending globally

BigBlueButton Server

Configure the BigBlueButton server used for live video sessions and recordings.

  • BBB server URL
  • BBB shared secret for API authentication
  • Recording settings and auto-cleanup preferences

AWS S3 Storage

Configure AWS S3 for media storage including uploaded course content, recordings, and certificates.

  • AWS Access Key ID and Secret Access Key
  • AWS Region
  • S3 bucket name and path configuration

JWT & Security Settings

Configure authentication and security parameters for the platform.

  • JWT secret key for token signing
  • Token expiration settings
  • Session timeout configuration
  • Password policy settings

Permissions & Security

MidwayCME uses role-based access control (RBAC) to ensure users can only access features appropriate for their role. As an admin, you have visibility into all security-related activity on the platform.

Audit Logging

The platform maintains an audit log of significant actions. Access audit logs from Admin → Audit Logs.

Tracked events: User logins, role changes, course modifications, enrollment changes, settings updates, and failed authentication attempts.

Log details: Each entry includes the user, action type, timestamp, IP address, and a description of the change.

Filtering: Filter logs by date range, user, or action type to find specific events.

Data Protection & Encryption

Passwords: All passwords are hashed using bcrypt. Plain text passwords are never stored.

JWT tokens: Authentication tokens are signed with HMAC-SHA512 and include expiration timestamps.

HTTPS: All data in transit is encrypted via TLS. The platform enforces HTTPS for all connections.

Database: PostgreSQL connections use SCRAM-SHA-256 authentication. Database is on a private VPC network.

Reports & Analytics

Admins have unrestricted access to all reports and analytics across the platform. Unlike faculty (who only see their own courses), admins can view reports for every course and series.

Accessing Reports

1

Navigate to Admin → Reports from the sidebar.

2

Choose a report type: individual course assessment reports, series reports, or platform-wide analytics.

3

Use filters to narrow results by activity type (Enduring, Live, etc.), date range, or specific courses.

4

Click “Export CSV” on any report to download the data for offline analysis.

Available Report Types

Assessment Reports

Question-by-question breakdown with success rates, learner responses, and overall pass rates for any course.

Series Reports

Aggregated data across all activities in a series, including per-activity breakdown and unique learner counts.

Analytics Dashboard

Platform-wide metrics including total enrollments, completion rates, active users, and trending courses.

Compliance Reports

Accreditation compliance status, credit issuance tracking, and regulatory reporting for CME oversight.

CSV Export

All report types support CSV export. The exported file includes:

  • Summary statistics (total questions, learners, attempts, average score, pass rate)
  • Question-by-question breakdown with success rates
  • Individual learner responses with names, emails, answers, and timestamps
  • Correct/incorrect counts per question

For detailed report interpretation and usage tips, see the Faculty Guide — Reports section. The same report formats are available to admins with platform-wide scope.
